Problem: You want to break your attendees into smaller focused meetings or want to redirect them to different meetings without having to enter their access codes again when they switch between meetings.

Solution: Use custom access codes to link meetings together and create breakout rooms.

Pre-requisites:

To do this, you will need to access custom access codes and the materials module.

Setting up the meetings:

For this example, we will use two meetings *Meeting1 and Meeting2* and link them together using access codes, CSV upload, and links in the material module; this is most helpful if you want attendees to only to enter their access code once and not have to enter it again when they switch between meetings.

  1. Create Meeting1

  2. Prepare your attendee CSV file; make sure to include (code, email, and firstname) at the minimum.

  3. Upload your CSV file into Meeting1.

  4. Now you can create Meeting2.

  5. Upload the same attendee CSV into Meeting2.

  6. In Meeting1, create a link using the material module and have it point to Meeting2 (you can do the same for Meeting2 if you want to redirect people to Meeting1 afterward).

  7. Start both meetings.

  8. Join Meeting1 as an attendee; you will be prompted to enter your access code, and navigate to the materials tab, click on the link to Meeting2; you will be taken to Meeting2 without being asked to enter your access code again.

  1. This process will work for linking any two meetings together. You can repeat it multiple times inside the same meeting or link meetings in a many-to-many approach.

  2. If you're using the external ID field in your CSV, make sure that the external ID is identical in all CSV uploads (i.e., external id in for john doe in Meeting1, matches the external id for John doe in Meeting2); otherwise, leave the external ID field empty.

  3. Make sure that you have "Require custom access codes" toggled ON in the meeting settings (in both meetings); otherwise, attendees will not be authenticated by their name or details and show up as "anonymous."

  4. Make sure that "anonymize attendees" is toggled OFF in both meetings.
